The atime.com.my website and associated mobile applications (collectively, the “Platform”) are managed and operated by MAC Soft. This Privacy Policy applies to your use of our Platform and HRMS solutions.

At MAC Soft (“we”, “us”, or “our”), we take your privacy seriously. We are committed to protecting the privacy of any personal data you provide to us, ensuring compliance with the Personal Data Protection Act 2010 (PDPA) of Malaysia, and where applicable, international data protection standards.

1. Introduction & Our Role

This Privacy Policy explains how we collect, use, store, and process your personal data. In the context of our HRMS solutions:

  • Your Employer (Our Client) acts as the "Data Controller". They determine the purposes for which your data is processed.
  • MAC Soft acts as the "Data Processor". We process your data solely on behalf of, and under the instructions of, your employer.

2. Biometric Data & Facial Recognition

Our Platform utilizes AI-powered facial recognition exclusively for identity verification during attendance clock-in/out. Regarding your biometric data:

  • Collection: We capture facial geometry data solely for the purpose of preventing buddy-punching and verifying employee attendance.
  • Storage: Facial templates are mathematically encrypted and stored securely. We do not store raw images of your face for continuous tracking.
  • Retention & Deletion: Your biometric data is retained only for as long as you are actively employed by your employer, or until your employer requests its deletion. Upon termination of service, all biometric templates are permanently destroyed.

3. Location Services & GPS Tracking

To support remote attendance and geo-fencing features, we require access to your device's location data:

  • Active Tracking Only: GPS coordinates are only captured at the exact moment you perform a clock-in or clock-out action. We do not track your location continuously in the background.
  • Purpose: Location data is used strictly to verify that you are within the authorized geo-fence parameters set by your employer.

4. General Data Collection

Beyond biometric and location data, we may process general personal data necessary for HRMS functionality, including your name, employee ID, contact details, leave records, and work schedules.

5. Data Retention & Security

We deploy strict security procedures, including end-to-end encryption and enterprise-grade firewalls, to protect your data against unauthorized access. Data is retained on secure cloud servers and is kept only for the duration necessary to fulfill our contractual obligations to your employer and to comply with statutory labor laws.

7. Your Rights

Depending on your jurisdiction, you possess specific rights regarding your personal data:

  • Right of Access & Rectification: Request copies or corrections of your data.
  • Right of Erasure: Request the deletion of your data (subject to your employer's HR compliance requirements).
  • Right to Withdraw Consent: You may withdraw your consent for biometric/GPS processing at any time, though this may impact your ability to use the attendance system.

Note: As we are the Data Processor, requests exercising these rights should primarily be directed to your employer's HR department. We will assist your employer in fulfilling these requests.
